Privacy policy

This policy explains what happens to the information you send us through this website (www.easycliniccenter.com). We ask for health information, so we have tried to keep it short and plain. It is a general explanation and not legal advice.

Who we are

Easy Clinic Center is a personal health consultancy based in Istanbul, Türkiye, founded in 2020. We are a consultancy, not a hospital: we help patients get a second medical opinion and coordinate treatment at partner hospitals.

We decide why and how your information is used, so we are the "data controller" under UK GDPR and the "veri sorumlusu" (data controller) under the Turkish Personal Data Protection Law No. 6698 ("KVKK"). You can reach us at info@easycliniccenter.com.

What we collect

When you send a request we collect what you type or attach:

• Contact details: your name and your e-mail address or phone number.
• Your request: what you would like a doctor to look at, and which service you need.
• Health information (sensitive data): for example a diagnosis, medicines, allergies, previous operations, height and weight, medical records, photos or scans that you send us by e-mail. You decide what to send. In the detailed form we also ask for your date of birth and country, plus your travel and quote preferences.
• E-mail and documents: if you write to us, or reply to our e-mails with reports, scans or photos, we keep that correspondence and what it contains.
• Technical data: like most websites, the servers that deliver this site can see your IP address and browser details when you visit. We use Google Analytics only if you accept analytics cookies in the banner (see Cookies and analytics below).

Please do not send photos that show your face. Where a photo is needed for a treatment that involves your face, we will ask you for it separately and only with your agreement.

Why we use it and our legal basis

• To answer your request and prepare your second opinion, quote or treatment plan. Because this involves health information, we rely on your explicit consent (UK GDPR Article 9(2)(a); KVKK Article 6). You give it by ticking the consent box on the form. You can withdraw it at any time by writing to us (see Your rights); withdrawing does not affect what we did before.
• To take steps you ask for before arranging treatment, such as obtaining a hospital quote (UK GDPR Article 6(1)(b)).
• To keep basic records and meet legal obligations (UK GDPR Article 6(1)(c)) and to protect this website from abuse (our legitimate interest, Article 6(1)(f)).

We do not use your information for advertising and we do not sell it. No decision about you is made by automated means.

Giving us this information is voluntary, but we cannot answer a request without your contact details and a description of what you need.

Who we share it with

We share information only as needed to do what you asked:

• Our form service (FormSubmit, formsubmit.co). When you press the send button, your request is passed through this service, which e-mails it to us. According to its documentation it keeps form submissions for 30 days. We cannot control this service. Documents and photos are not sent through the form: you send them by replying to our e-mail.
• Our e-mail provider (İsimtescil, Türkiye) hosts our mailbox, where your request and any attachments are stored.
• Specialist physicians and partner hospitals, but only the information needed for your case and only after you ask for or agree to that step. Partner hospitals are independent providers; they are responsible for your treatment and have their own privacy notices.
• Google Analytics (Google, United States), only if you accept analytics cookies. It receives information about your visit (pages viewed, approximate location from a shortened IP address, device and browser details).
• Website hosting (GitHub Pages), which delivers the website. It receives technical data such as your IP address when you open a page. The site's fonts are served from our own pages, not from Google.
• Authorities, if the law requires it.

Our website links to hospital and other third-party websites. They have their own privacy notices and we are not responsible for them.

Transfers outside your country

We are in Türkiye. If you live in the UK or EU, your information is sent to us in Türkiye and passes through service providers that may be located in the United States or other countries. Türkiye is not covered by a UK or EU adequacy decision, so we rely on your explicit consent for these transfers and take the safeguards described below. If you do not agree, please do not use the form and contact us in another way.

Cookies and analytics

The site itself does not set cookies. We would like to use Google Analytics to count visits and see which pages are useful. It is switched off by default: nothing from Google Analytics is loaded unless you press Accept in the cookie banner. If you press Decline (or ignore the banner) it stays off. You can change your choice at any time with Cookie settings at the bottom of every page. Analytics cookies are used only to measure the site, not for advertising: we have turned off Google's advertising features. We rely on your consent for this (UK GDPR, Privacy and Electronic Communications Regulations).

How long we keep it

We keep your request only for as long as we need it to deal with it, to meet legal and accounting duties, and to handle any follow-up you ask for. After that we delete or anonymise it. You can ask us to delete it sooner (see your rights below).

How we protect it

The site and the form are served over an encrypted connection (HTTPS). Access to our mailbox is protected by a password and limited to the people who handle requests. We ask you to send only what is needed. No method of sending information over the internet is completely secure, so please keep what you send to what you are comfortable sharing.

Your rights

Under UK GDPR and KVKK you can ask us to:

• tell you what we hold about you and give you a copy;
• correct information that is wrong;
• delete your information, or restrict how we use it;
• stop using it where we rely on our legitimate interest;
• give you your information in a portable format;
• stop relying on your consent (this does not affect what we did before you withdrew it).

To use any of these rights, write to info@easycliniccenter.com. We will answer within one month where UK GDPR applies (30 days under KVKK).

If you are unhappy with how we handle your information, you can complain to the UK Information Commissioner's Office (ico.org.uk) or to the Turkish Personal Data Protection Board (kvkk.gov.tr). We would appreciate the chance to put things right first.

Children

This website is for adults aged 18 or over. If a parent or guardian completes the form for a child, they must say so in the form.

Changes

We may update this policy. The date at the top of the page shows when it last changed.
